How does Follow Up Ace work? Ace's machine-learning models score every contact in your Follow Up Boss — win probability, churn risk, and with Ace Trove the opportunity class, seller intent, and expected commission (est.). That intelligence reaches agents three ways: the Companion ranks each agent's day and hands them the words (the Team Playbook — think of it as a dynamic Smart List — decides the order); Ace Smart Lists carry the same scores into native FUB lists for agents who work list-style; and the suggestion engine fires on the moments that matter — a new opportunity opening or one about to be missed — drafting the move, adding it to the agent's queue, and creating a FUB task for the important ones.

The Companion opens on two panes:

  • NOW — one contact: the person to work next, why them (the signals, in plain language), and a ready-to-send draft in the agent's voice. Review, edit, send.
  • NEXT — the ranked queue behind it. The order is the ranking: work top to bottom and you've worked the right day.

Who decides the order? The Team Playbook — a dynamic Smart List. A normal Smart List filters and sorts by one column. The Playbook re-ranks continuously across many live signals — new lead with no contact yet, hot lead awaiting reply, high score with no recent touch, appointment coming with no prep call, past client lapsed.

The team lead sets the rules — drag them into priority order, tune thresholds, watch a live preview of the resulting call list. Six rules ship on every account; Ace Trove adds rules built on the model scores. One set of rules, every agent's queue.

Thresholds adapt to your book — "hot" means the top slice of your scores, not a fixed number. The Playbook queue and the Smart Lists run on the same fields, so they always agree on who matters. Work whichever way fits the agent.

When a moment matters, Ace doesn't wait for anyone to notice.

The engine watches two kinds of moments:

  • New opportunities — a lead just landed, a contact changed stage, a deal opened, an appointment was booked, an email got clicked, someone's browsing listings again
  • Opportunities about to be missed — a high-value contact going quiet, a save-window closing, a likely seller nobody's called

When one fires, Ace:

  1. Drafts the move — the message, the reasoning ("why now"), and the estimated dollars at stake
  2. Adds it to the agent's Companion queue in real time
  3. For the genuinely important ones, creates a task in Follow Up Boss assigned to that agent — it sits in their daily plan, and completing the task closes the loop. Notable-but-less-urgent moments drop a note on the contact instead
  4. Updates the fields — so the contact also surfaces in the right Ace Smart List automatically

Throttled by design — per-contact cooldowns and daily budgets keep it to the moments that deserve attention, not a firehose. And nothing is ever auto-sent: the agent reviews every message.

The paperwork writes itself, and the team lead sees the whole machine.

After appointments: Ace pings the agent — in-app, never by text — asks how it went, and writes the outcome, note, and follow-up task into FUB from a plain-language answer. The pipeline stays honest without anyone opening a form.
