7 Time-Saving Voice Commands for Real Estate CRM Tasks
Voice commands let real estate agents update Follow Up Boss hands-free — logging calls, pulling contact info, adding notes, setting tasks, and checking lead scores — by speaking naturally to the AI assistant. Voice chat is available on the Follow Up Ace Pro plan and works via WebRTC in the browser or mobile app.
voiceChatEnabled flag is set to true only when a user's plan is upgraded to Pro — it is not available on free or Regular plans. Text-based AI chat is available on Regular and above.
Why use voice commands for real estate CRM work?
Real estate agents spend a large portion of their workday in situations where typing is impractical: driving between showings, walking through a property, sitting in a client's driveway after a showing. Those are exactly the moments when CRM updates need to happen — while the conversation is fresh — but the keyboard is inaccessible.
Voice commands solve the timing problem. Instead of waiting until you're back at a desk and mentally reconstructing what happened on a call you made 90 minutes ago, you speak the update into the AI assistant the moment the interaction is over. The information is current, accurate, and logged before you start the next task.
Follow Up Ace's voice interface uses WebRTC for real-time audio and VAD (Voice Activity Detection) to determine when you've finished speaking. The AI transcribes your input, interprets the intent, executes the CRM operation through the FUB API, and confirms the result — all without you touching a screen.
Voice command 1: Log a call with outcome and notes
Say: "Log a call with Sarah Johnson. She answered. We talked for about 8 minutes. She's planning to sell her home in October and wants to list around $620,000. Set a task to call her back in two weeks."
What Ace does: creates a call event on Sarah's timeline, adds a note with the conversation summary you provided, and creates a follow-up task with the due date. Three separate API operations executed from a single sentence spoken while you're still in the car.
This replaces the three-to-five-minute end-of-call data entry that typically gets skipped when agents are busy.
Voice command 2: Pull a contact's history before calling
Say: "What's the last activity on Marcus Rivera?"
Ace retrieves the contact record, reads the most recent events and notes, and gives you a spoken summary: when he last responded, what was discussed, and what tasks are pending. You walk into the next call briefed, without opening the CRM on a screen.
This is especially useful between back-to-back calls or during a drive to a showing. The AI reads the relevant context aloud so the agent can prepare while hands stay on the wheel.
Voice command 3: Check a lead's Ace Score and tier
Say: "What's the Ace Score for Jennifer Park?"
Ace retrieves the contact and reads back the current Ace Score (0–100), Ace Tier (Hot / Warm / Cool / Cold / Dormant), Ace Velocity Score, and days since last inbound. In 10 seconds you have the behavioral summary that would take 30 seconds to find by navigating the CRM on a phone screen.
This is particularly useful when working through a call list. Instead of checking each contact card before dialing, you can ask about a contact while finishing notes from the previous call.
Voice command 4: Add or update a tag
Say: "Tag David Chen as seller lead and add a note that he's thinking about listing his Denver property."
Ace adds the tag to the contact and creates a note in one pass. Tags in Follow Up Boss drive smart list filtering and action plan enrollment — keeping them current is critical for any team running automated nurture sequences. Voice makes it fast enough to actually happen consistently, rather than being a "I'll do it later" task that never gets done.
Voice command 5: Create a follow-up task
Say: "Set a reminder to text Maria Gonzalez next Tuesday morning about the Westside listing."
Ace creates a task on Maria's contact record with the specified due date and a note about the context. Tasks created this way appear in the standard FUB task view alongside all other pending follow-ups — there's no separate voice-only to-do list. The task integrates seamlessly into however the agent manages their daily work queue.
Voice command 6: Search for contacts matching a description
Say: "Who are my Hot leads in the Denver area that I haven't talked to in the last 14 days?"
This type of compound query would require navigating smart list filters in the FUB interface. Through the AI assistant — voice or text — it's a single natural-language question. Ace runs the search across the FUB database, applies the filters, and reads back the matching contacts with a brief status on each.
For voice use specifically, Ace limits the spoken response to a manageable list and offers to send the full results as a text summary or to dial the first contact in the list.
Voice command 7: Draft and review an outreach message
Say: "Draft a text to Kevin Walsh referencing the fact that he searched Stapleton listings last week and hasn't heard from us in 10 days. Keep it short and conversational."
Ace pulls Kevin's activity history, confirms the IDX search behavior, drafts a message, and reads it aloud for review. If you approve, say "send it" — or "edit the last line to mention the open house this Sunday" to refine. The final message goes to Kevin only after explicit confirmation.
This preserves the efficiency of AI drafting without removing agent judgment from the send decision. The compliance scanner also runs on the draft before it's presented, catching any prohibited language before you hear it.
What tasks are NOT good candidates for voice commands?
Voice works best for tasks that are conversational by nature: logging, retrieving, creating, tagging. It's less suited for:
- Bulk operations (updating 50 contacts at once — use the text AI assistant or FUB's built-in bulk tools instead)
- Complex filtering with multiple field combinations — easier to set up in FUB's smart list builder visually
- Reviewing long documents or property reports aloud — better consumed on screen
- Anything requiring visual confirmation of layout or formatting
The voice interface excels at capturing information while mobile and retrieving brief summaries while transitioning between tasks. For anything that benefits from a screen, the text-based AI chat (available on Regular plan) is the better tool.
How do I enable voice chat in Follow Up Ace?
- Confirm your account is on the Pro plan ($55/seat/month). Voice chat is enabled when the plan is upgraded to Pro — it's not available on free or Regular plans.
- Open the Follow Up Ace chat interface embedded in Follow Up Boss.
- Look for the voice icon in the chat input area. Tap or click to start a voice session.
- Grant microphone permission when your browser or mobile app prompts. WebRTC requires permission to access the device microphone.
- Speak your command. VAD automatically detects when you stop speaking and sends the input to the AI. No button hold required.
Voice chat works on desktop browsers (Chrome, Edge, Safari) and the mobile web interface. For mobile-specific considerations and browser permission handling, see the Guides section.
