How Ace Writes a Grounded Follow-Up

A good follow-up answers the person in front of you. Ace uses relevant information it can actually access to help you write that message: your contact's recorded needs, the moment that prompted the follow-up, and your own voice.
Get a more useful draft
- Open the right contact. Start from their Ace conversation or the draft in your Companion queue. Check the name and the reason they surfaced.
- Give Ace the missing detail. If the latest agreement happened on a call or in an email, add a short Follow Up Boss note or state it in your chat request: “Pat wants a ground-floor bedroom and can tour Saturday at noon.”
- Specify the job. Try: “Draft a short text offering that Saturday tour. Use my notes, keep it warm and ask one clear question.”
- Read it in context. Check the recipient, property, timing and promised next step before sending. If something is wrong, correct the fact and ask for a revision.
What Ace can use
CRM evidence. Suggestion drafts, AI playbook messages and AI automation emails look up the target contact's current record plus a bounded set of notes and call, text and email activity records through your authorized Follow Up Boss connection. The contact's background and the single latest inbound and outbound text fields can also be used when Follow Up Boss supplies them. Records keep their dates; older information is not relabeled as a recent conversation.
Your voice and this client's context. These draft paths use the assigned agent's saved voice instructions and relevant memory when available. Agent-wide preferences can apply across messages; another contact's linked personal facts are excluded. Playbooks can use their enabled knowledge base, and AI automation email can draw on available team-template examples.
The reason for reaching out. A suggestion's signal, a playbook event or the instruction you give Ace provides the purpose. Available property and market information may add context on supported draft paths. Private scores and internal tracking guide the choice of approach; they are not something to quote to the client.
What Ace cannot see
Ace does not have complete email bodies, full text threads, call recordings or transcripts from Follow Up Boss. The latest text field is one visible slice, not the whole conversation. No plan upgrade or password reconnect unlocks a hidden inbox reader.
The lookup is bounded so drafting stays practical. A missing record or temporarily unavailable source means unknown, not “the client never replied” or “the agent did not follow up.” If a fact matters and is not available, provide it or ask Ace to make the question conditional.
Drafting and sending are separate outcomes
A suggestion or SMS draft gives you copy to review. An automation can send when you have enabled a supported sending action and the required connection is available. Autopilot has its own enrollment, review and delivery settings. Check the result for the workflow you are using: generated copy is not proof of delivery.
If the result feels generic
Add one concrete fact and one intended next step, then regenerate. Keep your saved voice instructions specific: sentence length, tone, sign-off and phrases you avoid. If a score-based suggestion is temporarily unavailable while models refresh, do not assume the contact has a low score; use the available CRM context and your judgment.
