Getting Set Up: the Onboarding Wizard and the Ops Hand-Off Link

The setup wizard reads what it can — your Follow Up Boss configuration and, if you have one, your team's own website — and only asks you what nothing can infer. The goal is a working account in a handful of minutes, not a long form.

What you'll have when you're done

Your team's real setup reflected back to you — roster, pipelines, existing Smart List names — with a plain count of how much Ace could read on its own.
A short set of proposed deployments (Smart Lists, trigger rule templates) you accept, edit, or skip — nothing publishes or sends without your say-so.
A hand-off link you can send to whoever actually runs your team's day-to-day, so they can review the setup without you sitting next to them.

Your first win, in about 5 minutes

Open the wizard (a banner appears on your dashboard if setup isn't finished, or go directly to it after connecting Follow Up Boss). Enter your team's website — or say you don't have one; that's a real path, not a dead end.
Watch the sweep run: Ace reads your Follow Up Boss configuration and, if given a site, crawls your own public pages. Anything it can't read is named out loud (“we couldn't read your Automations”) rather than silently skipped.
Answer two quick questions about what's actually slipping right now and who runs the day — both skippable, both pre-filled with a sensible default.
The reveal: “we set up N of M for you.” Every inference shows its evidence and an edit control; anything Ace had to guess is visibly marked as a guess, never presented as a fact.
Review the proposed deployments (Smart Lists, trigger rule templates), accept or skip each, and press through. Nothing publishes automatically — every proposal says exactly what it writes to before you accept it.

What Ace reads vs. what it asks

Ace never asks for something it can read: your team name, size, and roster; your pipelines and stages; your existing Smart List and Action Plan names (not their criteria — Follow Up Boss doesn't expose that, and the wizard says so rather than pretending to know your filters); your book size and lead sources; and, from your own website, your brand colors, logo, markets, and social links.

What it asks, because nothing can infer it: what's slipping right now, who runs the day-to-day, your commission basis (defaulting to your account's own realized median), who should get the morning brief, and your quiet hours. Every question is skippable, and skipping accepts the stated default — that's only possible because everything else was inferred instead of asked. There is no phone-number field anywhere in the flow.

A guess is always labeled a guess

Every inference is marked high confidence (read directly from Follow Up Boss or your site's own metadata) or guess (a heuristic), and a guess renders visibly differently — a wrong confident-looking guess here would poison trust in every later Ace suggestion, so nothing is upgraded to look more certain than it is. Every inference also carries an edit control; nothing you didn't confirm gets applied silently.

The ops hand-off link

If you told the wizard someone else runs your day-to-day operations, you're offered a hand-off link — a signed, expiring link (you choose the window, up to 30 days) that lets that person open and review the reveal without an admin login. It authorizes exactly one thing: reading this wizard's proposal. It cannot see contacts, billing, or anything else, and it does not email itself to anyone — you copy and send it yourself. Finishing and applying the setup still needs a real admin sign-in; the hand-off link gets someone else to the reviewing, not the applying.

Frequently asked questions

What if my account doesn't have a website?
You'll say so on the first screen, and the wizard runs entirely on your Follow Up Boss data — it's a first-class path, not a dead end. You'll be asked for your market and logo directly since the crawl can't provide them.

Can I run the wizard again later?
Applying proposals is idempotent — Smart Lists upsert by name, trigger rules skip ones that already exist — so re-running it doesn't duplicate anything.

Does anything get published or sent before I approve it?
No. Every proposal states what it would write to, and nothing publishes or sends until you accept it.

Where does the hand-off link go if I'm on the admin dashboard's own subdomain?
It resolves to the wizard's resume page automatically — just send the link exactly as given.
