Quick Prompts: Team, Personal & Custom Prompts

Quick Prompts are one-click instructions that tell Ace exactly what to do — analyze a lead, draft a follow-up, run a multi-step workflow — without retyping the same request every time. This guide covers the three kinds of prompts, how admins activate them for the team, and how to write your own.
The three kinds of prompts
- Library prompts — pre-written by real estate experts and grouped into categories (Lead Analysis, Follow-up, Reactivation, Market Insights, and more). Admins activate the ones they want.
- Team prompts — library prompts an admin has activated. They appear for every member of the team, in the order the admin sets.
- Personal prompts — custom prompts an individual creates for themselves. They're private to that user and always appear first in their list.
Activating team prompts (admins)
- In the admin dashboard, open Quick Prompts in the left sidebar (under Manage).
- Browse the Prompt Library by category.
- Click Add on any prompt to activate it — it moves into My Active Prompts and becomes available to your whole team.
- Drag prompts to reorder them. The order you set is the order agents see. Changes save automatically.
Writing a custom prompt
Admins create custom prompts from the Quick Prompts page (Add Custom Prompt); agents create their own from Settings inside the Ace embed. A strong prompt has up to four parts:
- Context — the situation it's for. "When working with a new lead who just inquired about a property…"
- Specific actions — exactly what Ace should do, as a list. Update the stage to Active Buyer; add a follow-up task for tomorrow; add tags Hot Lead and Property Search; draft a personalized intro email.
- Personalization — how to tailor the message. Reference their specific property interests and preferred communication style.
- Conditional logic (optional) — if/then rules. If they haven't given a phone number, ask for it in the email; if they're a first-time buyer, include buyer-education resources.
Example — New Lead Complete Setup: "For this new lead: analyze their inquiry source and property interests, set their stage to New Lead, add source and property-type tags, create a 'Call New Lead' task for today, and draft a personalized intro email in my voice."
Ace always shows you a draft and asks before it sends, creates, or changes anything — you stay in control.
Auto-Suggest: the right prompt at the right time
Ace can recommend the most relevant prompts for whoever you're looking at. With a contact open, Ace reads their stage, recent activity, timeline, tags, and property interest and surfaces the prompts that fit — a new Zillow lead gets an initial-contact prompt, a 30-day-quiet buyer gets a re-engagement prompt, and so on. Turn it on with Auto-Suggest in the embed.
How prompts appear in the embed
When you open Ace on a contact in Follow Up Boss, your prompts appear in this order: your personal prompts first, then your team's activated prompts in the admin's set order. Click any prompt and Ace analyzes the contact and carries out the instruction, showing you the result — and a confirmation before any action.
