Connecting Your Gmail to Ace (Send Email from Your Own Address)

Ace does not send mail from a shared Ace address. It sends from your mailbox, through a one-time Gmail connection you make yourself, so the message arrives from you, lands in your own Sent folder, and is logged to the Follow Up Boss timeline automatically.
That connection is separate from everything else you may have already connected, which is the single most common source of confusion here. If your sends are failing, this article is almost certainly the fix.
Connect Gmail in four steps
- Open the Ace Companion — Open Companion at the top-right of the Ace panel inside Follow Up Boss, or press Cmd+K / Ctrl+K.
- Click the settings gear, then open the Integrations tab.
- Find the Gmail row and click Connect.
- Approve the Google sign-in popup. When the row shows your address, you are done.
It takes about a minute and only has to be done once per person. Every agent on the team connects their own Gmail — there is no account-wide version of this, because the whole point is that mail goes out as you.
The Google account has to match your Ace seat
The connection is refused if the Google account you pick is not the same address as the one on your Ace seat — the address you receive your Ace mail at. If your browser is signed into a different Google account, choose Use another account in the popup and pick the right one.
If that address is an alias rather than its own Google mailbox, the popup will never offer it — Google only ever lists real mailboxes, never aliases. That is not something you can fix by retrying. Email [email protected], tell us which mailbox the alias belongs to, and we will enable that mailbox for your seat so the connection goes through. One thing to know before you ask: Ace sends from the mailbox you connect, so your outbound mail will show the mailbox address rather than the alias.
Three connections people mix up
These are three different things. Reconnecting the wrong one changes nothing, and it is worth knowing which is which before you troubleshoot:
- Your Ace Gmail connection (this article) — the Companion, Settings, Integrations. This is the one that lets Ace send email.
- The Follow Up Boss connection — the authorization that lets Ace read and write your CRM data. Reconnecting it does not affect sending.
- Follow Up Boss's own Gmail integration — Settings, Connected Email, inside Follow Up Boss itself. That one drives Follow Up Boss's own email features. Disconnecting and reconnecting it has no effect on Ace sends.
So if a send fails and you are shown a message about reconnecting, check the Gmail row in the Companion first.
Disconnecting
The same Gmail row has a Disconnect control once connected. It removes Ace's ability to send from your Gmail and revokes the authorization in your Google Account. Sending stops immediately; nothing else about your Ace seat changes.
What this does and does not cover
- Does: email that you or Ace sends on your behalf, from your address, logged back to the contact's Follow Up Boss timeline.
- Does not: text messages. Ace cannot send texts — it drafts them for you to send.
- Does not: change anything about how Ace reads your CRM. That runs on the Follow Up Boss connection and works with or without Gmail.
If sends still fail after the Gmail row shows your address, contact support with the exact message you get back and we will take it from there.
