Ace Is Writing in Follow Up Boss Under Someone Else's Name

If Ace's notes and tasks are landing in Follow Up Boss under your broker's or your admin's name instead of yours — or Ace answers with the wrong person when you ask it who you are — your seat is working through your team's shared Follow Up Boss connection rather than your own login. Nothing is broken, and you can fix it yourself in about a minute.
This is the normal starting state, not a fault. When your admin connected Follow Up Boss for the team, that one connection was extended to every seat so Ace worked for everybody on day one. It means your Ace panel has always shown Connected — which is why this is easy to miss until you notice a name that is not yours on a record.
Connect Ace to your own login in four steps
One thing to get right before you start: Ace has to be opened from inside Follow Up Boss for this. Opening it in a separate browser tab will not work, because Ace needs to see which Follow Up Boss seat is asking.
- Open Ace from inside Follow Up Boss, then open the Companion — Open Companion at the top right of the Ace panel, or press Cmd+K / Ctrl+K.
- Click the settings gear, then the Integrations tab. Under Connections you will find the Follow Up Boss row.
- Click Reconnect. It is there even though the row already says you are connected — that is expected, and it is the whole point of this article.
- Sign in as yourself and approve. When you are done, Ace is acting as you.
Sign in as yourself — this is the step that matters
At the Follow Up Boss sign-in screen, use your own Follow Up Boss login. If you sign in as your broker, your team lead, or whoever set the team up, Ace will faithfully bind your seat to that person, and you will have swapped one wrong name for another. If the sign-in screen looks like it already has somebody else's session, sign out there first and come back.
Every agent does this for themselves. There is no account-wide version of it, because the entire point is that Ace acts as you.
What this changes, and what it does not
- What changes: what Ace records in Follow Up Boss for you — notes, tasks, the contacts it reads — is recorded as you, and Ace applies your own Follow Up Boss permissions rather than the team connection's.
- What does not change: your team's shared connection. Connecting your own login does not replace it, disturb it, or disconnect anybody else. Your teammates are unaffected, and so is everything your admin set up.
- What also does not change: the small Ace AI label Follow Up Boss shows beside notes Ace created. That label is Follow Up Boss's own marker for anything created through a connected app rather than typed directly into Follow Up Boss, so it stays after you connect. The name on the record will be yours; the label is not something we set and we cannot vary it per person.
Admins: this is not the same button as yours
If you are the admin, you have a separate re-authorize Follow Up Boss control in your admin dashboard. That one is for the team-wide connection — use it if that connection has actually failed. It is the wrong tool for the problem in this article: re-running it does not bind any individual agent to their own login, and it will not fix a wrong name on a record. To connect as yourself, use the Companion steps above, exactly like your agents do.
Still seeing the wrong name?
Two things worth checking before you ask us:
- Records created before you connected keep the name they were created with. Nothing is rewritten retroactively, so judge the fix by a new note or task, not an old one.
- Make sure the sign-in actually completed. If you closed the window at the approval screen, nothing was saved and the row will look unchanged.
If a brand-new record still shows somebody else's name after you have connected as yourself, send us the contact's name and roughly when the record was created, and we will look at that specific one.
